You've been on a three-day customer visit. You took the customer out to dinner, parked at the office and took a taxi to the train. All of these costs belong to the same trip, but until now they've appeared as separate rows in the overview. Now the app groups them in their travel expense claim, so you can see right away what belongs together. You can also submit the whole travel expense claim with a single tap.
Your items are grouped in their travel expense claim
When you register an expense in our new app, the travel expense claim is created automatically in the background. This makes registering quick, since you don't need to think about the travel expense claim while you have the receipt in your hand. But it has also made it harder to see which items belong together when you later look at the overview.
Now the Expenses overview shows your items grouped by travel expense claim. All items that belong to the same travel expense claim are listed together on their own card.
Even an item that is alone on its travel expense claim is shown on its own card. This way it's always clear which travel expense claim an item belongs to.
The heading shows what the trip was about
At the top of the card you see the travel expense claim's purpose as the heading, for example "Customer visit Gothenburg". If the travel expense claim has no purpose, the app shows the date of the items instead, for example "10 Sep".
Below the heading you see the date and the number of items, for example "24 Sep • 4 items". If the items span several days, the dates are shown as a range, from the earliest to the latest.
The card then lists each item with its name, date, your comment and amount. At the bottom you see Total, which is the total amount for the whole travel expense claim.
Submit the whole travel expense claim at once
At the bottom of each travel expense claim is the Submit button. With one tap you submit all items in the travel expense claim at the same time.
See right away if something is missing
If something is missing for you to be able to submit, the app shows a red exclamation mark. The exclamation mark appears where the information is missing: next to the travel expense claim's heading if it concerns the travel expense claim as a whole, or next to an individual item if it concerns that specific item. So you can already see in the overview what you need to complete, and where to find it.
Enter purpose and account codes for the whole travel expense claim
If you tap the travel expense claim's heading, the travel expense claim header opens. At the top you see the travel expense claim number, for example "Travel expense claim number: 2026001". Below that you enter or change the purpose and account codes for the whole travel expense claim:
- Purpose: You write the purpose in the Purpose field. When you save, the new purpose is shown directly as the heading of the travel expense claim in the overview. The purpose applies to the travel expense claim as a whole.
- Account codes: Below the purpose, the account code fields your organisation uses are shown. You tap a field and choose a value. The value you choose is carried over to the items in the travel expense claim. If you have already entered your own account code on an individual item, it is kept.
Mandatory fields are marked with a red asterisk (*). If such a value is missing, the app shows a message at the bottom stating which field is required. When everything is filled in, tap Save.
Which account code fields are shown, and whether they are mandatory, is controlled by the same settings as before. So there are no new settings to configure.
You can change the travel expense claim header as long as the travel expense claim is under To report or Rejected. When the travel expense claim is being processed, approved, transferred or paid, you can view it but not change it, in the same way as for individual items.
If you want to change something on an individual item, tap the item. It opens in the same detail view as before.
The same overview throughout
Travel expense claims are shown the same way throughout the overview: under To report, when you tap Show rejected under Rejected, when you open your items being processed, and in History. Wherever you look, you see your items grouped by travel expense claim.
Better overview and order
With the travel expense claim visible in the overview, you understand more quickly what your items are about and why they belong together. You see the purpose and the total for the whole trip at once, you see right away if something is missing, you enter purpose and account codes in one place, and you submit everything with one tap. For those who travel for work, it becomes easier to keep things in order, and for the finance department it means travel expense claims with the right purpose and the right account codes from the start.
