You've just bought office supplies for the department, and at the same time the report for a business trip is waiting to be submitted. You photograph the receipt, fill in the details in our new app – and save. But which travel expense claim did the expense actually end up on? Until now, this has been handled silently in the background, and you could only discover afterwards if the expense had accidentally ended up on the wrong trip.
Now it becomes visible before you even save, and you can control it yourself if needed.
See the travel expense claim directly in the form
In the expense form the app shows after you've photographed your receipt, there's now a field called "Added to travel expense claim", which shows exactly which travel expense claim your expense is about to be saved to.
Switch to a new travel expense claim if needed
If you tap the field, "Select travel expense claim" opens. There you can see which travel expense claim is preselected, for example "Travel expense claim 10", and instead choose "Create a new travel expense claim". If the expense actually belongs to a different trip than the one already open, you simply select a new travel expense claim and save as usual. The expense is then added to a brand new travel expense claim instead of the one that was previously open.
Sometimes there's no choice to make
If there's no open travel expense claim to add the expense to, a new one is created automatically, just as before. In that case, the form simply shows which travel expense claim the expense will end up on, without you needing to choose anything, since it's already the only sensible place for it.
Less risk of expenses ending up in the wrong place
Previously, an expense could accidentally end up on a travel expense claim that was already open for a different reason, for example another trip, without you noticing until afterwards. Now you see it right away in the form and can correct it immediately, instead of discovering and sorting it out afterwards.
Full control before you save
The feature doesn't change how travel expense claims are fundamentally kept open or closed – that's still handled automatically. The difference is that you now see the result before you save, and can adjust it if it's not correct.
The feature is available in our new app already today. Next time you register an expense, take an extra look at the "Added to travel expense claim" field before you save!
