When you snap a photo of a receipt to create an expense in our new app, or edit an existing expense, you can now link the expense to the right account code straight away – without having to go into the web version afterwards.
The account code is visible directly in the expense form
In the expense form you'll find the "Connected to" row. This shows which account code the expense has.
To change or add something, tap "Connected to". There you select values for the fields you can fill in, for example via "Select project" or "Select customer". You can search or browse the "All account codes" list and tap "Done" when you're finished.
Only the fields that are relevant to you
The app only shows the account code fields that apply to you and your expense. Fields that shouldn't be displayed don't appear at all, and locked fields are shown without the option to change them. Mandatory fields are marked with an asterisk (*). This keeps the screen clean and easy to scan, even on a small mobile screen.
Same rules as on the web
Account coding works just the way you're used to in Flex HRM. The app follows the same settings for account code dimensions and account code combinations that you already have, and the fields are shown in the same order. If the travel expense claim already has an account code, for example a home account code or a project, it's automatically carried over to the expense. If the cost is allocated across several values, "Allocated" is shown next to the field.
If you're an administrator, there are no new settings to configure – the app and the web version always follow the same rules.
From receipt to the right account code – in seconds
With account coding available in the app, you can register a complete expense right away, while you have the receipt in your hand. You only see what you need to decide on, and the rest is filled in automatically. For the finance department, this means fewer incorrect account codes and less to correct afterwards.
