Automatic Deletion of Certain Personal Data When Employees Leave the Company

Flex HRM now automatically deletes personal data for you. This feature is automatically enabled when Flex HRM is updated and cannot be disabled. Information about next of kin and bank account details is deleted when an employee leaves the company, so you don’t have to delete it manually and you reduce the risk of data being stored longer than necessary.

Why Personal Data Needs to Be Deleted

Under the GDPR, as an employer, you must delete personal data when it is no longer needed. Deleting data manually takes time, especially if you have many employees. Without a set routine, it’s also easy to overlook this step, which can result in data being retained in violation of the GDPR or your internal policies.

How automatic deletion works

Deletion is activated automatically when Flex HRM is updated. You don’t need to do anything to turn it on, and you can’t turn it off. What you do control is how long after employment ends the data is deleted.

When an employee’s employment ends, Flex HRM automatically deletes the following data once the time limit has passed:

  • next of kin information
  • bank account information.

The default setting is 90 days after the end of employment.

What happens to employees who have already left

The data deletion also applies to employees who left before this feature became available to you. If an employee’s employment ended more than 90 days ago, Flex HRM deletes the next of kin information and bank account details immediately upon the next update of your Flex HRM.

How to change the time limit

You can customize the time limit yourself to match your company’s procedures. You’ll find this setting under General > Data Purge > Deletion of Personal Data – Settings. It applies at the system level, meaning it applies to all companies you manage in Flex HRM.

Who is affected

This feature will be available to all customers in version 2026.200.0.817. If your license includes HRM Employee, data retention is already active for you.

More data purging on the way

We want to make it easy for you, as a manager or administrator, to do the right thing. That’s why we’ll continue to expand this feature in the future, so that eventually you’ll be able to handle more types of personal data in the same automated way.
