In Flex HRM's new mobile app, which we are currently developing, Flexie has already been able to suggest an expense code for you when you photograph a receipt. Now we are refining that feature even further. Instead of showing just a single suggestion, the app presents a ranked selection of the most relevant codes – so you can quickly choose the right one, even when several codes are similar.
From one suggestion to a smart selection
Already today, Flexie automatically analyses the receipt based on information such as supplier, purchase lines, and amount, and suggests an expense code. This works well in most cases, but sometimes there are several codes that could apply – for example, the difference between internal entertainment with or without alcohol, or accommodation domestic and international, can be hard to determine from the receipt alone. In those situations, you previously had to open the full expense code register and search manually.
Now the new mobile app instead displays up to three ranked suggestions, with the most likely one pre-selected.
Each suggestion shows the code, name, and a brief explanation of why that particular code is recommended. For example, it might look like this: "Restaurant + alcohol on the receipt → Internal entertainment food and alcohol". That way you immediately understand why the app arrives at its suggestion and can quickly assess whether it is correct.
Adapted to the situation
The feature is designed to be smart without becoming unnecessarily complex. The most likely suggestion is pre-selected, so in the vast majority of cases all you need to do is confirm the choice. If you would rather select a different code, you can do so with a single tap.
In situations where Flexie cannot determine which code fits best, the suggestions are displayed without a pre-selected option. You then actively choose yourself, which ensures the correct code always ends up on the expense. And if you prefer to search manually, the full expense code register is available via "Show all" – with complete code descriptions that make it easier to find the right one.
Less administration, more control
The purpose of the feature is to remove friction from an everyday moment. You no longer have to guess which code is correct among similar alternatives, and you save time every time you register an expense. At the same time, you always retain full control – the app suggests, but you decide.
It is yet another step in how Flexie makes your working day smoother, right from your pocket.
