A more accurate vacation forecast – taking planned absences into account

Have you ever wondered if the vacation forecast is really accurate for an employee planning a longer leave later in the year? Now you no longer have to wonder.

The whole picture provides a better basis for decision-making

For customers who use both Payroll and Time, the system now takes the calculation of vacation days for the current earning year one step further. When Flex HRM calculates how many vacation days an employee will earn, it now automatically takes into account approved, planned absences that are registered in Time - and not yet reported in Payroll.

This is exactly the kind of benefit that comes from having the entire HR workflow in one system.

Avoid taking vacation days prematurely

Imagine an employee who plans to be on leave for studies in the fall. In the past, the vacation forecast could appear to allow for a certain number of vacation days during the summer - without taking into account that the leave later in the year may affect accrual. Now, planned absences are factored in from the outset, giving the payroll specialist a more accurate basis to work from.

The result is a forecast that better reflects reality - and helps you ensure that your employee doesn't take more vacation days than will actually be earned during the year.

How it works

The calculation is done automatically at payroll settlement for most customers. For those who work directly in the Update vacation days and employment rate view, the planned absence is now visible as part of the calculation basis. As before, you can click on the details of the calculation to see exactly which absences are included.

Please note that the function only retrieves absence requests that have been granted and approved, and only absences that may be wholly or partially non-holiday related will affect the calculation.

Total overview in the Payroll calendar

As part of the same delivery, the planned absence from Time is now also shown in the calendar in Payroll. The calendar is designed to give you an overview of the absence information that affects the vacation calculation, and with planned absences added, you as a payroll specialist get a more complete overview - without having to switch between modules to get the full picture.
