Now you can see your balance right when you register an expense in the app – for example for wellness

You've just paid for your gym membership and are taking a photo of the receipt in our new app. But how much of your wellness allowance do you actually have left this year? Previously, you had to log in to the web version to see it, or work it out yourself from previous receipts.

Now your balance is shown directly in the expense view in our new app, just like on the web. You can see how much you have left, how much you've already used and how the current expense affects your balance – before you've even saved.

Works for all expense types with a balance

The balance is shown for the expense types where your organisation has chosen to show a balance. Wellness is a common example, and it's the one we use in this article. But the same feature works for other expense types that have a balance. Another example is a balance for how much you can spend on home office equipment. Everything described below also applies to these balances.

The balance appears as soon as you select an expense type

When you select an expense type that has a balance, for example "Wellness allowance 100%", a box showing your balance appears further down in the form. At the top of the box is the cap for the balance, for example "Wellness cap 3000 kr/year".

The balance is calculated automatically. It starts from your total amount and deducts all the expenses you've already registered that count towards the balance, whether they have been audited or not. That way, you always get an accurate picture of what's left.

See how the expense affects your balance before you save

As you register the expense, the balance updates in step with the amount you enter. The box shows how much you have left after the expense, for example "1,750 kr left after the expense".

Below the amount there is a bar in two colours:

  • The grey part shows what you've used previously, for example "500 kr used previously".
  • The blue part shows how much of your balance the current expense takes up.

If you change the total amount, the bar and the amount change instantly. So you see exactly what happens to your balance before you decide to save.

Clear warning if you exceed the cap

If the expense would take you over the cap, you'll see it straight away. The amount is then shown in red with a minus sign, for example "-250 kr left after the expense", and the whole bar turns red. The "Create expenses" button can't be used, and the expense can't be saved.

To continue, change the total amount so that it fits within what's left of your balance. This means you find out when registering that the balance isn't enough – instead of finding out afterwards.

Clear overview on saved expenses too

If you open an expense you've already saved, the balance is shown there too. You can then see how much you have left of the total amount, for example "1,750 kr left of 3,000 kr", together with a bar showing how much you've used so far.

For administrators

The balance is only shown when the registration rule has the "Show balance" setting. This applies both to wellness and to other expense types with a balance, for example home office equipment.

Less guesswork, fewer surprises

With the balance visible directly in the expense view, you always know how much you can be reimbursed – without leaving the app or doing the maths yourself. This makes it easier to plan your next gym membership or your next desk chair for the home office, and you avoid finding out afterwards that the balance had already run out. At the same time, there are fewer questions to the finance and payroll department about how much is left.
