Exclude individual employees from your pay analysis

In HRM Pay Equity Compass, you can now exclude individual employees from a pay analysis and re-include them when necessary. You specify a reason for each exclusion, and the system records which employees were excluded at the start and at each recalculation. The statistics for equal and equivalent work then reflect the employees who are actually being compared, and the exclusions are included in your documentation.

When an employee can be excluded from the comparison

The general rule is that all employees should be included in the pay analysis, regardless of their employment status. However, there are sometimes reasons to exclude an individual from the comparison, such as a CEO or someone who remains in the data set but no longer works for the organization. An employee with a salary that deviates for objective reasons, however, should normally remain in the comparison, and you should explain the difference in the analysis.

Exclusion does not affect employees’ rights

Excluding an employee from the comparison does not affect that person’s rights. The equal pay rules apply to all employees, which is why the reason you provide is important. It should explain why the person cannot be compared with others in the group.

How to exclude employees

You exclude one or more employees when you create a new pay analysis. If you want to make changes to a pay analysis that’s already in progress, select “Edit” on the pay analysis and exclude the employees there.

When you exclude an employee, always provide a reason in your own words. If you change your mind, include the employee again in the same place.

Traceable at the start and at each recalculation

The system records which employees were excluded when the salary analysis began and at each recalculation. This means you can review afterward who was included in a specific calculation and why others were not.

Exclusions are included in the documentation

The pay analysis documentation shows which employees you excluded and the reason you provided for each one. This means you don’t have to keep a separate list on the side. As a result, your assessments are already included in the documentation.
