You've just paid for lunch with a customer. The receipt is in your hand, and you open our new app to register the expense before you forget. But what happens next? For those of you who rarely submit expenses, the answer is often: nothing. The expense sits there, unsent, until a deadline reminder shows up – if it even manages to in time.
We're now building a solution into our new app that lets you send your expense for review the very moment you register it. Without leaving the flow, and without having to remember anything at all afterwards.
From receipt to done – in a single flow
As soon as you've registered an expense, the app asks you: "Would you like to send your expense for review?"
- If you answer yes, the expense is marked as done immediately, and you're completely finished.
- If you answer no, the expense is saved as usual, and you can send it later the same way as today.
For those of you who only register the occasional expense once a year, this means you can photograph the receipt, fill in the details, and be done in one go – without having to find your way back to the app again.
The travel expense claim is handled quietly in the background
Today, expenses are collected in a travel expense claim before being sent for review. That's still the case, but now you never need to think about it when registering an expense. The app automatically places the expense on an open travel expense claim, or creates a new one if needed – entirely in the background. You won't see any of it, and you don't need to understand how it works. You simply register your expense, just like before.
The question only appears when everything checks out
For the question about sending for review to be reliable, it's only shown when there's nothing standing in the way. The app automatically checks that:
- the expense has no validation errors, and
- the travel expense claim doesn't already contain other transactions.
If both conditions are met, you get the question right away. If there's a validation error, or if the same travel expense claim already has other expenses on it, no question is shown. The expense is still always saved – it's never blocked by a validation error. If something's missing, you'll instead get a clear, gentle signal about exactly what needs to be completed, so you know what to do next.
You decide – your previous choices are respected
If you decline the question, nothing else happens at that moment, and the app won't ask to send all your pending expenses at once. If you already have unsent expenses lying around from before, they'll stay put exactly as you chose – they're picked up by the regular deadline reminder, just like today.
Less to remember, more time for other things
This feature is designed for those of you who only submit expenses once in a while and want to photograph the receipt, register it, and be done – as quickly as possible. By moving the question about sending for review to the exact moment you're already in the app, you skip an extra step that's easy to forget. The result is simpler for you, and fewer expenses getting stuck at the last minute for the finance department.
