Soon it will be easier to keep track of how much wellness allowance you have left to use. Flex HRM will show your current wellness balance as soon as you've photographed the receipt to create your expense, so you won't need to leave the registration screen to work out how much you can be reimbursed.
Why the change is needed
Today, as an employee, you lack contextual information about your remaining balance when registering a wellness expense. This creates uncertainty, increases the risk of accidentally exceeding the maximum amount, and forces you to navigate away from the expense view to check the balance elsewhere. If an expense exceeds the maximum amount, it also risks being rejected by a manager or administrator afterwards, which means extra work for everyone involved.
With the upcoming feature, the information becomes available right where you need it. The goal is increased transparency, reduced cognitive load, and fewer incorrect expenses that need to be rejected.
Balance shown as soon as you select the expense type
When you want to request reimbursement for your wellness receipt and, under "Expense type," select an expense code linked to wellness, for example "FV – Wellness," the system will automatically retrieve and display your current balance. Directly below the "Expense type" field, the text "You have [amount] SEK left of [amount] SEK" will appear, for example "You have 200 SEK left of 500 SEK," along with a progress bar visualizing how much of the balance has already been used.
The balance is calculated as your approved amount minus expenses already used and pending expenses, so you always see an up-to-date and accurate balance, not just the original approved amount.
The feature applies to expense codes where the registration rule for wellness has the "show balance" setting enabled.
Instant feedback as you enter the amount
The balance isn't just a static figure. When you then enter a total amount for the current expense, the text and progress bar under "Expense type" will update, so you can see immediately how the balance will be affected if the expense is submitted. This way, you'll know right away whether the amount fits within what you have left, before you submit the expense for approval.
Flexie can answer questions about your wellness balance
The same information will also be available through the AI assistant Flexie. If you ask Flexie about your wellness balance, she will retrieve detailed information about the total approved amount, the amount used, and the remaining balance, and explain it to you in an easy-to-understand way.
What this means for you
With the balance visible directly in the registration view, a clear indication of how a new expense affects the balance, and the option to ask Flexie whenever you like, you get better control over your wellness allowance. You no longer have to guess or look up the information elsewhere, and the risk of submitting expenses that later have to be rejected is reduced.
